Annual Business Meeting

The 2021 Annual Business Meeting will be held in a hybrid fashion: in-person at the Hilton Americas-Houston (in conjunction with the World Gathering) and virtually for those who cannot attend the World Gathering.

To facilitate this hybrid meeting, please note the following procedures for participating, bringing motions to the floor, and voting:

  • Every attendee will need a mobile device with internet access to participate. Voting will be handled electronically, and given the number of tabs, documents, and tools you’ll need open to participate, sharing devices among participants is likely to become unwieldy.
  • The Chair will note when members are able to present motions, speak, etc. Our plan is to alternate between recognizing in-person and virtual attendees using the following process:
    • In-person attendees should approach the microphone located in the center of the room if/when they intend to speak and wait to be recognized by the Chair.
    • Virtual attendees should use Zoom’s “raise your hand” feature in the chat window. When the Chair calls on you, you should unmute your device, make your comments, and then re-mute yourself.
  • The digital ABM Voting Tool (see below) will be used at the meeting’s start to verify that we’ve met quorum. (If a quorum of 100 registrants is not reached, the 2021 ABM will be postponed until 2022, and mandatory presentations will be recorded and posted online.)
  • All participants will use the Voting Tool to vote. For every motion made during the meeting, the Chair will announce when each voting window opens and closes. You will have the ability to make and update your vote during this period; once each measure’s voting window is closed, your last saved entry will count as your vote. Voting eligibility is based on preregistration for the meeting and valid membership. In accordance with Article XII, section 2, subsection b of American Mensa’s Bylaws, proxy votes will not be permitted.
